Reporting areas
What aged care and disability providers report on first
Each one starts as a single trusted number with a named owner, then earns its place in the weekly review.
Roster coverage and unfilled shifts
Coverage against roster by service and location, with unfilled shifts surfaced early enough to be filled rather than reported after the fact.
Service delivery against plan
Hours delivered against hours planned and against hours claimed, so the three figures that should agree can be reconciled weekly instead of at month end.
Staff compliance and readiness
Checks, registrations, mandatory training, and clearances tracked to expiry so a roster is built from staff who are currently eligible.
Incident and feedback close-out
Incidents, complaints, and feedback with owner, due date, and ageing, on the same pack leadership reviews weekly.
Workforce cost and overtime
Agency, overtime, and permanent hours by service, which is usually where budget pressure appears first and is explained last.
Client and participant activity
Service volume, plan progress, and changes over time, reported at the level appropriate for operational management.
Systems we pull from
Built from the systems already running care
We build on what you already own. No new platform to buy, and each system stays the record of truth for its own work.

Frequently asked questions
Clear answers on timeline, investment, and delivery scope.
Care data is sensitive. How is access handled?
Access is scoped by role during the build and is a design constraint rather than an afterthought. Operational reporting is generally built at service, roster, and cohort level rather than at individual client level, and where individual-level detail is genuinely needed it is restricted to the roles that already have that access in the source system. The reporting never widens who can see what — it reads with the same entitlements.
Our planned, delivered, and claimed hours never reconcile. Can this help?
This is the most common reason providers build this reporting. The three numbers come from three systems and the differences are usually explainable — cancellations, travel, rounding, claim timing — but nobody has time to explain them monthly. Putting them side by side weekly turns a month-end reconciliation exercise into a short list of exceptions with owners.
Can you report compliance expiry before rostering?
Yes, and it is generally the fastest view to build. A rolling expiry forecast by staff member and requirement means rostering can see who is currently eligible rather than discovering a lapsed clearance afterwards. It works from the compliance register you maintain today, including where that is a spreadsheet.
Does this help with regulatory reporting or accreditation?
It helps with visibility, and we would be careful about claiming more than that. Having incident close-out, compliance status, and service delivery evidenced and current makes preparation substantially easier. What the reporting cannot do is establish a compliance position — that remains the provider's, assessed against the standards that apply to you.
Does this replace our care management or rostering system?
No. Care records stay in the care system, rosters stay in the rostering system, and both remain the record of truth. The reporting reads across them, which is precisely the gap — no single one of those systems can show delivery against plan against claim.
How long before the first view is running?
One to two weeks for a single view such as compliance expiry or roster coverage. Three to six weeks for the full weekly pack. Reconciling delivered against claimed hours usually sits at the longer end because it involves the most systems.
