What trades and field service businesses report on first
Each one starts as a single trusted number with a named owner, then earns its place in the weekly review.
Job margin after the real cost
Margin per job once travel, materials, return visits, and warranty work are counted, which is regularly the difference between a job that looked good and one that was.
First-time fix rate
Resolved-on-first-visit by job type, technician, and equipment, so the fix is targeted at parts stocking, training, or scoping rather than assumed.
Technician utilisation and travel
Billable hours against travel, waiting, and admin time, which usually shows the schedule rather than the technician is the constraint.
Quote conversion and pipeline
Quotes by status, value, and age, with unconverted work followed up rather than left in the system after it was sent.
Recurring and maintenance contracts
Contract coverage, service due dates, and profitability by agreement, so renewals are priced from evidence.
Parts, stock, and van inventory
Usage against holdings by van and by job type, which is what makes the first-time fix number actionable rather than just observed.

Frequently asked questions
Clear answers on timeline, investment, and delivery scope.
We use a job management system that already has reports. Why build more?
Because those reports answer questions inside one system, and the questions that matter usually cross systems. Job margin needs the job system plus accounting plus payroll; first-time fix needs job history plus parts usage. Most operators end up exporting from two or three places into a spreadsheet, and that spreadsheet is what this replaces.
How do you calculate job margin for a small trades business?
Labour at true cost including on-costs, plus materials at invoiced cost, plus an allocation for travel and vehicle running, against the invoiced value. Whether overhead is allocated is a decision made before the build and then published on the dashboard so the number is consistent. For most trades businesses the travel allocation is the part that changes the picture most.
Can you report first-time fix if we do not currently track it?
Usually yes, by deriving it from job history — a second visit to the same site for the same fault within a window. It is not perfect, and it improves markedly once technicians record a resolution status. Deriving it first is the right order, because it shows the size of the problem before anyone is asked to change what they do on site.
Is this worth it for a business with five technicians?
Often yes, and the Starter range exists for exactly that size. At five technicians the owner is usually the reporting system, and a single reliable view of job margin or unconverted quotes returns time immediately. What is not worth it at that scale is a full integration programme, which is why the sprint starts from exports.
Can we see which technicians are more profitable?
Yes, with a caution we would raise before building it. Technician-level margin is heavily influenced by job allocation — whoever gets the difficult callbacks looks worse. Reporting it alongside job type and complexity keeps it fair and usually redirects the conversation to scheduling, which is where the improvement actually is.
How quickly can we see the first view?
One to two weeks for a single view built from existing exports. Three to six weeks for the full weekly pack covering margin, first-time fix, utilisation, and quotes.
